Exhibitor Appointed Contractor Request — required of all exhibitors

Exhibitors using an Exhibitor Appointed Contractor (EAC), or non-official show contractor, must complete the EAC Request Form and submit an insurance certificate for each EAC. This includes EAC’s performing work in Home Base Meeting Rooms.

Log in to your Exhibitor Console.
Go to your Task List and Timeline Required Documents.
Find "Request to use an Exhibitor Appointed Contractor", click on "Complete Task Now", and complete the form.


An EAC is a company other than the "official" service provider for the SAPPHIRE® NOW and the ASUG Annual Conference Exhibitor Program designated by show management as the provider of a specific service (i.e. Freeman and the Orange County Convention Center, "OCCC"). The EAC may only provide services that are not designated as "exclusive" to a venue provider.

Reminder: The exhibitor is responsible for ensuring that the EAC identified in the online form submits a certificate of insurance no later than April 25, 2011. This is in addition to the exhibitor's insurance requirement.

Summary of Coverage required — policy dates must not expire before the conference move-out date


  • Employers' liability insurance with limits of at least $1,000,000 per accident covering personnel performing work at the Orange County Convention Center property
  • Comprehensive commercial general liability insurance with contractual indemnity coverage and combined single limits in the minimum amount of $2,000,000 per occurrence for personal injury and property damage
  • Commercial automobile liability insurance with coverage for owned, non-owned, rented and borrowed automobiles with a combined single limit of not less than $1,000,000
